Position Description

The Contract Specialist will play a key role in managing and facilitating the entire contract lifecycle, ensuring legal and organizational policies. The contract Specialist will collaborate with multiple departments to negotiate, draft, and execute business objective while also mitigating FlexGen’s risk. FlexGen’s project scopes range from integration and software services to full engineering, procurement, and construction (EPC) scope of supply.

Major Job Responsibilities

  • Take sufficient steps to minimize contracting hazards working within the Company’s preferred risk profile
  • Liaise with and support the Commercial Contracts Manager (“CCM”) and Support Teams to ensure the Project Commencement (Stage 4) activities are executed timely and properly following best practices
  • Ensure compliance with the Company’s work health and safety policies, standards, and procedures while performing work activities
  • Prepare weekly status reports on work progress and brief the CCM
  • Support the CCM in negotiations of claims, contractual changes, and resolution of disputes or conflicts with Suppliers as required
  • Assess and prepare Work Authorizations to support the Life Cycle Services Team when necessary
  • Ensure contracting documents are properly stored following Company standards
  • Special assignments or support work as may be required in furtherance of the Company’s business objectives
  • Identify opportunities for process improvement within the contract management function
  • Implement best practices to enhance the efficiency of contract processes
  • Maintain accurate and organized contract documentation
  • Ensure that all relevant records are up-to-date and easily accessible
  • Lead contract negotiations with vendors and internal stakeholders
  • Communicate contract terms and conditions clearly to all parties involved
  • Stay abreast of relevant laws and regulations to ensure contracts adhere to legal requirements
  • Collaborate with legal counsel when needed to address complex legal issues
  • Cultivate and maintain positive relationships with vendors and external partners
  • Collaborate with cross-functional teams to evaluate vendor performance and adherence to contract terms

Position Requirements

  • A Bachelor of Science degree or equivalent relevant work experience
  • 5+ years of experience in contract management
  • Ability to read, analyze, and interpret contractual documents, financial reports, and technical documents
  • Ability to apply arithmetic concepts such as fractions, ratios, and proportions
  • Basic understanding of purchasing and supply chain procedures
  • Proficiency in common Microsoft Office applications
  • Good understanding of standard operating procedures (SOPs) and occupational, safety, and environmental regulations and laws
  • Time management and problem-solving skills
  • Verbal and written communication skills
  • Ability to perform with a high degree of accuracy in a fast-paced work environment
