Contract Specialist Legal (Contract)  

  

Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.  

  

Summary  

  

This role leads contract administration responsibilities in support of the Long Lead Equipment and Maintenance & Repair Categories for data center operations, supports the Category Manager, and works closely with internal stakeholders and external suppliers to execute defined strategies.  

  

Job Responsibilities  

  

  • Prepare regular status reports on issues, risks, and mitigations for internal stakeholders.  
  • Prepare contractual notices and register logs as appropriate using language from contract terms & conditions.  
  • Participate in recurring stakeholder meetings to understand project procurement needs and provide status updates.  
  • Document processes and procedures for all work expectations. Document and track workload and communicate Service Level Agreement (“SLA”) risks in advance, escalate timely and with necessary details. Weekly report on workload, SLA misses, roadblocks, risks, etc.  
  • Assume all post-award contract administration responsibilities for electrical and mechanical Long Lead Equipment (“LLE”) suppliers and Maintenance & Repair (“M&R”) suppliers.  
  • Facilitate post-award activities through collaboration and communication. Address quality-related issues as they arise; report/escalate as appropriate and work with Category Manager.  
  • Draft, execute, and file Purchase Agreements, Purchase Order Requests, and Purchase Services Requests.  
  • Understand the contract terms and conditions while ensuring compliance from relevant parties.  
  • Execute procurement contracting strategies for data center construction projects.  
  • Execute project closeout requirements including claims settlement and demonstrating a complete understanding of lien waivers.  
  • Manage Change Orders as per contractual terms and conditions. Research contracts to assist in Change Order negotiations with input from key stakeholders.  
  • Monitor and mitigate the impact of change orders to the project, and partners cross-functionally to resolve/escalate accordingly.  
  • Attend change management meetings and report on open change orders as applicable.  
  • Address and resolve any payment disputes submitted by suppliers.  
  • Ensure all liens are submitted, and contracts are closed out properly for final close out.  
  • Ensure consistency, timeliness, quality, and accuracy of deliverables, and ensures Supply Chain stakeholders are aware of contractual defined milestones and deliverables.  
  • Store contract documents and ensure Microsoft Compliance for document filing and document repository.  
  • Communicate delay to Supply Chain stakeholders, and independently proposes and executes contingency measures.  
  • Ensure adherence to policy, educates stakeholders and suppliers on policy compliance, and manages the remediation and resolution of sourcing issues.  
  • Identify opportunities to adapt policy as needed to mitigate risk and better enable suppliers to meet business requirements.  
  • Participate in sourcing activities as required. Compile, review, and revise RFP packages. Prepare contract awards as needed.  
  • Administrative support for Request for Proposals, Quotes, Information. Create RFx packages utilizing or creating templates for streamlined timelines. Update documents as necessary throughout the RFx process. Own change management throughout the life cycle of the RFx. Review documentation from stakeholders for missing or inadequate information and communicate list of necessary changes.  
  • Research and complete onboarding for new and existing suppliers.  
  • Create clarity, generate energy, and deliver success; always planning for the future.  
  • Drive to achieve results in midst of ambiguity and a matrixed organization. Be a high performer by effectively multi-tasking and managing priorities; have a “sense of urgency” regarding issue resolution.  
  • Understand the importance of relationships inside the company and with Microsoft supply chain partners. Embody our Culture and Values.  

  

Requirements  

  

  • 5 overall years of experience in the field.  
  • Bachelor's degree is required to be eligible for this role.  
  • Direct experience in contract management as a contract professional, such as a specialist, manager, or administrator.  
  • Ability to demonstrate administrative task proficiency, as the role is very administrative rather than strategic.  
  • Quick responsiveness in a fast-changing environment with many different stakeholders.  
  • Experience in drafting to executing contracts and demonstrating direct experience in contract management.  
  • Previously worked at Microsoft in a similar role is always a plus.

  • Pay Range: $31 - 35 per hour
