Job Overview

We are looking for a highly skilled and motivated Law Firm Administrator to join our esteemed leadership team in a fully remote capacity based in California. This pivotal role will be essential to our firm's growth trajectory, responsible for overseeing daily operations and ensuring optimal efficiency across all non-legal functions. As a strategic ally to the CEO and senior leadership, the Law Firm Administrator will be instrumental in shaping and executing initiatives that bolster the firm's long-term objectives. This position is ideal for an individual who possesses a strong passion for operational excellence and team development within an expanding legal practice.

Key Responsibilities

  • Cultivate a positive, values-driven culture within the firm.
  • Lead and supervise a team of non-attorney staff, focusing on recruitment, onboarding, training, performance management, and career advancement.
  • Mentor, coach, and guide the team to align with the firm’s strategic goals.
  • Represent the firm externally, advocating its values and culture.
  • Collaborate with the CEO and leadership team to define and implement strategic initiatives that further business growth and operational efficiency.
  • Serve as a strategic advisor in long-term planning and key decision-making processes.
  • Manage organizational change initiatives, ensuring seamless transitions relating to new processes, technologies, and systems.
  • Facilitate communication across departments to streamline workflows and enhance collaboration.
  • Partner with the CFO to oversee budgeting, financial forecasting, and performance analysis to achieve financial objectives.
  • Optimize firm-wide operations by creating scalable systems and processes that enhance efficiency.
  • Ensure adherence to risk management and compliance strategies regarding legal and regulatory obligations.
  • Spearhead the firm's technology strategy and oversee administration of workflows.
  • Manage payroll and benefits administration while ensuring a positive employee experience.
  • Plan and coordinate employee events and team-building activities to foster a collaborative environment.

Required Skills

  • Proven leadership capabilities with a strong record of motivating and developing high-performing teams.
  • Excellent interpersonal skills, including conflict resolution and trust-building across all organizational levels.
  • Strong project management competence, with the ability to juggle multiple priorities effectively.
  • Extensive knowledge of legal office procedures, terminology, and document management systems.
  • Ability to adapt to and implement new technologies efficiently.
  • Outstanding client service orientation with exceptional verbal and written communication skills.
  • Proficiency in Microsoft Office Suite.
  • Fluent in English, both written and spoken.

Qualifications

  • High school diploma required; bachelor's degree preferred.
  • Certified Legal Manager (CLM) is strongly preferred.
  • A minimum of 7 years of experience in law firm administration or law office operations management.
  • At least 3 years of supervisory experience managing a legal team of 10 or more employees.
  • A minimum of 3 years in Human Resources roles, encompassing recruiting and hiring processes.
  • Proven experience managing budgets of $5 million or more.
  • Experience in small to mid-sized organizations, emphasizing operational efficiency.
  • Familiarity with remote-first work environments is advantageous.
