Legal Assistant

West Mermis, PLLC is looking to add a full-time Legal Assistant to our team. Located in downtown Houston, West Mermis represents clients throughout Texas. West Mermis is a full-service construction law firm that also provides commercial litigation services to its clients. 

Required: 

  • 3 + years of legal secretarial experience; (litigation background preferable)
  • Proficient in Microsoft Suite of programs including Word, Outlook, and Excel
  • Working knowledge of Excel, Power Point, Publisher, and Teams
  • Working knowledge of E-filing, Pacer, Simplifile and other online filing platforms
  • Excellent organizational skills and strong attention-to-detail
  • Ability to multi-task
  • Excellent oral and written communication skills
  • Team player with a positive outlook
  • Willingness to take on whatever tasks need to be accomplished
  • Desire to learn new skills and think outside of the box

General duties and responsibilities: 

  • Maintaining multiple attorney calendars and scheduling
  • Orchestrating the intake process for new matters and clients
  • Electronic document management including management of incoming faxes, court filings, email and other client correspondence in appropriate electronic files and maintain case files and attorney case notebooks as needed
  • Downloading and ingestion of client documents and other discovery materials and filing, profiling and maintenance in appropriate electronic client files
  • Preparation of case notebooks for hearings and deposition as needed
  • Preparation of shell (draft) documents used in litigation motion practice and discovery
  • Document processing including conversions and other advanced processing from PDF
  • E-filing eservice and recordation of documents with courts and government agencies
  • Coordinating and scheduling court hearings, mediations, depositions, and other attorney related appointments
  • Calendar docketing management
  • Drafting correspondence
  • Prepare expense reimbursements and check requests
  •  Attorney time entry using online billing software
  • Prepare budgets and client fee and expense reports as required
  • Scanning and copying client and case file documents as needed
  • Archiving closed client files for offsite storage
  • Assisting attorneys in law related affiliation responsibilities
  • Running errands from time to time as needed
  • Assisting attorneys, paralegals, and other staff with case-related tasks as requested
  • Occasional overtime required
