Contract Administrator  

The Contract Administrator coordinates the processing of all customer contracts, confidentiality agreements, insurances, bonds, and subcontracts to support all departments and locations. Ensures all documents comply with corporate policies, procedures, requirements, and legal guidelines. Works closely with operations and accounting staff to minimize risk to the company.  

Essential Duties and Responsibilities  

  • Contract administration for all departments and locations  
  • Ensure proper contract terms and conditions, insurance requirements, contract language modifications, and required approvals and signatures are obtained for all contracts and subcontracts. Utilize corporate legal counsel and/or insurance consultant as necessary to minimize risk.  
  • Generate and review all subcontract agreements in coordination with Project Management. Coordinate the proper and timely processing of contracts and subcontracts  
  • Assist with the preparation and assembly of architectural/engineering proposals and documents for various departments  
  • Ensure proper Certificate of Liability Insurance is in place for all customers and subcontractors based on contract requirements  
  • Assists in completion of pre qualifications for owners, and staff  
  • Work with our insurance consultants managing workers comp, GL, Auto and professional liability claims  
  • Responsible for the subcontract prequalification process and the maintenance of appropriate documentation  
  • Other duties as assigned  

Qualifications  

  • Bachelor’s degree in engineering or business, or equivalent combination of training and related experience  
  • At least 5 years of contract administration experience  
  • Must have a thorough understanding of contracting procedures including knowledge of purchasing, finance, engineering and controls principles  
  • Effective verbal and written communication skills plus general mechanical aptitude required  
  • Detail oriented with excellent organization and analytical skills  
  • Experience working in an architectural or engineering firm is highly preferred  
  • FDOT and/or Public Agency experience is highly desirable  

Technical Skills  

  • Proficient in contract management software, preferably NetSuite and Microsoft Office Suite.

Physical Demands  

  • This position is primarily based in an office environment, with occasional travel to other company locations/events as needed  
  • While performing the duties of this job the employee is occasionally required to stand, sit, walk, bend and occasionally lift and move up to 25 pounds.
