Primary responsibilities for this position is to assist the Corporate Head Counsel with the daily administrative tasks, such as managing the calendar of appointments, scheduling meetings, reviewing staff timecards for bi-weekly payroll approval, attending incoming emails and phone calls, resolving any administrative related issues, helping the counsel prepare for active cases that are going to trial. Additional projects as needed.

Additional Responsibilities include but are not limited to:

  • Managing and monitoring the Corporate Counsil’s emails to respond to all requests from staff and outside vendors.
  • Scheduling meetings and appointments; providing reminders to staff when important events are upcoming.
  • Assist with the onboarding process and help with new hires, including training, computers etc.
  • Assign and monitor clerical, administrative, and secretarial responsibilities and tasks amount office staff on behalf of the Corporate Head Counsil.
  • Imputing attorney’s times and invoices for payment.
  • Ensuring CLE credits are up to date and registering if needed.
  • Coordinate travel arrangements, scheduling the flights, hotels, and conference room accommodation.
  • Delegating task to staff employee when overflow of work, as directed by Corporate Head Counsil.
  • Assisted in preparation for trial, mediation, and depositions, if necessary.
  • Plan in-house activities such as conferences and celebrations.
  • Coordinate with IT department regarding office equipment.

Ideal candidate should have:

  • Paralegal or litigation/claim experience.
  • Knowledge of circuit court scheduling procedures and guidelines.
  • Strong typing and computer skills.
  • Advanced grammar and writing skills.
  • Good organizational and time management skills.
  • Good communication and exceptional writing skills.
  • Ability to work independently as well as in a team environment.
  • Ability to manage time and tasks.
  • Bilingual (preferred but not required).
